Headquartered in Austin, Texas—one of the biggest hubs for laughs in the United States—every episode coming out of YMH Studios brings mostly relatable (and definitely hilarious) conversations to an audience that spans the globe. With new episodes launching Monday through Friday every week, and live shows and special events happening throughout the year, the team at YMH consistently builds on its library of longform content, banking shows and editing them on a rolling basis. But YMH’s post production staff isn’t all located in the same place, so keeping up with the incessant pace of production means establishing a post workflow that ensures everyone can stay on-track.

YMH Before Suite - Dropbox, Drives, and Duds

YMH’s post production team has four full-time editors, including Chris Larson, director of post production, who also oversees the studio’s media library and project management. Prior to adopting Suite, Larson’s found himself shaking his head, not only from ill-natured jokes and untimely office pranks—his team’s post production workflow had its downsides. With some editors in-house, one located in Denver, Colorado, and a production team in Los Angeles, California, YMH’s dispersed workflow was built around its on-prem server while shipping drives and Dropbox became main pathways for file transfers. In short, YMH’s workflow before Suite left room for confusion, delays, and angst.

As the team banks new content—up to 30 unreleased episodes at a time— Larson’s role often extends beyond the Edit Bay into managing a hybrid team that spans the entire country, ensuring that each editor has enough footage on-hand to edit. “We want to avoid editors twiddling their thumbs,” he notes. “One of the problems we kept running into was with Dropbox file transfers. We’d lose a connection, experience a timeout, or whatever—and uploads would fail. Then I'd have to re-upload files again… and again. It was like this constant game: Is it gonna work this time?

When video editor Alan Caffey relocated to Denver, the team’s post production process was really put under the microscope. “We were constantly shipping drives,” Larson says. “It worked to an extent, but it required us to be more proactive in terms of which episodes were launching and when. There was less flexibility, and I’d constantly be checking in with Alan, asking how many shows he had left to edit, and how many drives I needed to ship next.”

“We’re dealing with some pretty big stuff every week,” Caffey adds. “We’d have conversations every week about which shows were coming down the pipe. We had to keep in touch regularly, almost daily, just to plan everything out. Then, on ship days, I’d have to collect a stack of drives to get them sent back so Chris could archive the footage.”

With Dropbox file transfers failing on large projects, the process of shipping drives becoming an increasing headache during planning and execution, and the lack of flexibility their workflow offered—Larson began exploring other workflow solutions that would help streamline & centralize everything. Paired with YMH’s on-prem infrastructure Suite’s cloud storage now offers a streamlined way for Larson to manage projects, reliably transfer media, and keep his editors on-track. First and foremost, adopting Suite eliminates the need for YMH’s post production staff to ship drives back and forth. “It takes less planning now,” Larson notes. “I don't have to prep drives. I don't have to get someone to take them to the mailbox to ship out. I can upload footage anytime. Especially with shoots that are recorded and need to launch in the same week, I can get assets over fast.”

Caffey echoes the sentiment; now, he can hop into media the moment it’s uploaded to Suite. “If an episode is recorded Monday and needs to release by Friday, shipping times prevented me from getting the job done,” he comments. “Now, if something is filmed on Monday, it can be uploaded to me via Suite by Tuesday morning and I can get straight to work. Project files can grow up to 1 TB per episode at YMH, so that saves everybody a lot of time, and we don’t have to shift project release dates as often. That’s all thanks to Suite.”

For the Los Angeles-based production crew behind Bert Kreischer’s “2 Bears, 1 Cave”, delivering final assets became seamless on Suite. “We have them upload via Suite Connect,” Larson explains. “It’s much simpler—and I’m just happy I don’t have to constantly check-in anymore, asking for tracking numbers, asking if drives have been overnighted, things like that. We don’t have any of those headaches. It’s just a simple link to upload. No problems.”

Once media is received by Larson, he uses Suite in combination with YMH’s existing on-prem infrastructure to manage all the media. “Footage comes in, goes on the server, then we place working assets on Suite, which cycles as needed," Larson explains. "Once a project wraps, we place footage back on the server, then onto separate drives to be archived... and likely forgotten about until we might need it somewhere down the line."

Caching on Suite and Time Machine have also proved useful to YMH. “I have a two-terabyte SSD and have my cache assigned to it. It works great,” Caffey says. “There have also been a few instances where Time Machine has come into play—I can just remount the drive and the media is there. It’s a great reassurance, a solid backup.”
